Privacy Policy

This policy explains what Herd Advisor collects, why, who else touches it, and what control you have.

• "Herd Advisor," "we" and "us" mean Gabe Wight, an individual doing business as Herd Advisor, a sole proprietorship based in Arkansas.
• It covers our website (herdadvisor.com), our iPhone and Android apps, and our emails.

1. The short version

• You own your ranch data.
• We use it to run Herd Advisor for you and to make Herd Advisor better.
• We never sell it.
• Outside companies that help us run the service get only what they need for their job.
• We use your records inside Herd Advisor to pick Partner Offers to show you; partners never see them.
• You can export your data and you can delete your account.

2. What we collect

Account information

• Your name, email address, and phone number (if you give it).
• Farm name, state, ZIP or postal code, and country.
• Your password, which is stored scrambled (hashed). If you sign in with Google or Apple, we store the account ID they give us instead.

Ranch records ("Your Data")

• Everything you or your farm's users enter or upload. That includes animals, identification, calving, breeding and exposure, pregnancy checks, treatments and medications, vaccinations, weights, movements, pastures, sales, deaths, inventory, registry and EPD information, and notes.
• Financial records, such as transactions, receipts, allocations and tax reports.
• Photos and documents you upload.
• Voice recordings and their transcripts.
• Your AI Assistant conversations.

Payment information

• Payments are processed by Stripe, Apple or Google.
• We do not see or store your full card number.
• We keep your plan, billing interval, status, and the IDs our payment providers give us.

Usage and device information

• IP address, browser and device type, operating system and time zone.
• Pages and screens used, and error reports.
• How you found us, such as ad-click and campaign tags.

Communications

• Emails and support requests you send us.
• Your email preferences.

3. How we use it

We use your information to:

• Run the service. That means storing and syncing your records, producing reports, running voice entry and the AI Assistant, sending reminders, and giving access to the people you invite.
• Give you market information. That means forecasts, briefings and regional prices, which use your ZIP code or region.
• Bill you and manage your subscription.
• Support you. That means answering questions and fixing problems. That can include looking at your records when needed to answer your request, fix a problem, or keep the service secure.
• Improve Herd Advisor. That means finding bugs and making features work better. For example, when several users correct the same voice-entry mistake, we add that correction to our cattle-term dictionary. This happens inside Herd Advisor, and it never involves selling or giving Your Data to anyone.
• Keep the service secure, and meet legal obligations.
• Send you email about your account and, if you have not unsubscribed, product news and market briefings.
• Measure our own advertising. See Section 5.
• Pick which Partner Offers to show you. See Section 7.

What we do NOT do with Your Data:

• We do not use your herd or financial records to build or train our market forecast models. Those models use public market data only.
• We do not sell Your Data (Section 6).
• We do not give Your Data to advertisers or partners.
• We do not use Your Data for any new purpose not described here without first asking your permission (Section 13).

4. Who we share it with (service providers)

We use the service providers below to run Herd Advisor. They may use your information only to provide their service to us. They are not allowed to sell it or use it for their own purposes, except as their own legal terms require.

About the AI providers. OpenAI and Anthropic process the data described above to provide their part of the service to us. Their handling of that data — including any model-training or retention practices — is governed by their own business and API terms with us. We have not agreed to let either company train its models on data we send them.

Other sharing:

• People you choose. Farm members you invite, and share links you create (for example, a sale catalog link), show your records to whoever you give access to.
• Legal requirements. We share information when required by law, subpoena or court order. Where the law allows, we tell you first.
• Business transfer. See Section 11.

5. Cookies, analytics and advertising

• Cookies. We use cookies to keep you signed in and to understand how our website is used.
• Ad measurement. We use advertising and analytics tools — Google Ads, Google Analytics, and Meta (Pixel and Conversions API) — to see which ads bring in customers. Meta receives only the hashed contact details and account ID listed in Section 4, and only when you sign up or buy. The Meta Pixel on our website may also see the pages you visit. None of these tools ever receive your herd or financial records.
• Session recordings. We use Microsoft Clarity to record website sessions and build heatmaps, so we can see how visitors use the site. It sees the pages you visit, your clicks and scrolls, your device and browser info, and your IP address. It does not see your herd or financial records.
• Your choices. You can block cookies in your browser, which may affect sign-in.
• Tag Manager. We use Google Tag Manager to load our advertising and analytics tags.

6. We never sell your data

We do not sell, rent or trade Your Data or your personal information to anyone for money or anything else of value.

These are not sales:

• giving data to the service providers in Section 4 so they can do their job for us;
• sharing that you direct yourself, such as invites, share links, or a Partner Offer you accept (Section 7);
• disclosures the law requires.

Combined (aggregate) data. We may combine data across many ranches into totals or averages. For example, "average calving date in the Southern Plains," or "how many ranches redeemed an offer." We do this only when:

• the result cannot reasonably be tied back to any rancher, farm, place, animal or device;
• every group covers at least 10 ranches; and
• we do not try to re-identify it, and we contractually forbid anyone who receives it from trying.

Nebraska producers. Under the Nebraska Agricultural Data Privacy Act:

• Herd Advisor is prohibited from selling your agricultural data without your express written consent.
• Any such consent would be asked for separately from these terms, through a clear and conspicuous disclosure.

We apply this same promise to every customer, wherever they ranch.

7. Partner Offers

• What it is. Farm-supply stores and manufacturers ("sponsors") pay Herd Advisor to show offers to ranchers they may be useful to.
• It is on for every account. Partner Offers are on by default for every account, new and existing.
• What we look at. Inside our own systems, we use your records to decide which offers to show and when. That includes your farm's state and ZIP, herd size and type, vaccination and treatment history and timing, and breeding and calving timing. Example: you vaccinate every May, so a May vaccine offer shows up in late April.
• Matching happens only inside Herd Advisor. No record about you or your ranch, and no ID that stands for you, goes to the sponsor.
• What sponsors get:
  • Only combined totals, such as how many times an offer was shown or redeemed, by offer, store or region.
  • Always with at least 10 ranches in any group.
  • Sponsors are contractually forbidden from trying to identify any rancher from them.
• Redemption. You redeem offers inside the Herd Advisor app. Sponsors do not send us their store or loyalty data to match against you.
• Labeling. Every offer is labeled "Sponsored by" and the company's name. We do not endorse the sponsor's products; ask your veterinarian or advisor about them.
• Sharing with a sponsor only on your yes. Some offers may need to share something with the sponsor, such as your name and this purchase so you earn loyalty points. That offer says exactly what is shared and with whom, and shares nothing unless you say yes to that one offer. A yes to one offer is not a yes to any other.
• No text messages. We will not send Partner Offers by text message. Partner Offers will never appear in account or billing emails.
• Not available in Canada. Accounts with a Canadian address are not shown Partner Offers.

8. How long we keep information

9. Your choices and rights

Export. You can download your records yourself:

• Reports and herd lists export to CSV or Excel.
• Financial reports (P&L, Schedule F, Form 4797) export to Excel or PDF.
• The CPA package downloads as a single ZIP file.

There is not yet a single "export everything" button. Email us and we will send you a full copy of Your Data in a common spreadsheet format within 30 days.

Correct. Edit your records in the app, or ask us.

Delete your account. In Account > Delete Account:

1. If you pay on our website, billing stops right away. If you pay through Apple or Google, cancel your subscription in your Apple or Google account settings.
2. We keep your account for 30 days in case you change your mind. You can restore it during that time.
3. On day 30 we permanently delete your account, your farms, and the records in them from our live database, including your uploaded photos, documents and voice recordings, with the exceptions listed below and in Section 8.
4. Copies in backups expire on the schedule in Section 8.

A few things to know:

• Farms you own are deleted for everyone. Members of a farm you own lose access to it. We email them when you request deletion and again before the purge.
• Financial records (current behavior). When an account is deleted, its financial transactions, allocations, receipts, custom categories, enterprises and LRP endorsements are kept, removed from your account and farm, but they may still contain details you entered (payee names, notes, receipt images). Our internal records still link them to the deleted account — tax history is not destroyed. We use them only for tax record-keeping, and we do not currently promise a date on which these are deleted.
• Voice-entry corrections are kept, anonymized. If you corrected a voice entry while reviewing it, we keep the original transcript and the original and corrected values afterward, no longer linked to your account, to improve voice recognition for everyone.
• A file on a farm you only belong to (not own) stays. If you uploaded a document to a farm someone else owns, it stays with that farm — it is not yours to delete, and deleting your own account does not remove it. The same is true for activity-log entries you made on that farm and for a sale-catalog copy you transferred to another farm.

Withdraw consent. Unsubscribe from marketing email (link in every email), or turn off AI features by not using them.

Other rights. Depending on where you live, you may have the right to:

• see what we hold about you;
• correct or delete it;
• get a copy;
• object to or limit some uses.

Email contact@herdadvisor.com. We will answer within 30 days and will not charge you or treat you differently for asking.

10. Farms with more than one user

• The farm owner (the account that created the farm) controls that farm's data. That includes who can see it, exports, deletion, and farm-wide settings such as Partner Offers.
• Members see and edit what the owner allows.
• Members control their own account information and email preferences.
• If the owner deletes the farm or their account, the farm's records are deleted for all members.

11. If Herd Advisor is sold or merges

If Herd Advisor, or the part of it that holds Your Data, is sold, merged or transferred:

• Your Data goes with it only if the new owner is bound by this policy's promises, including no sale of your data, the Partner Offers limits in Section 7, and notice before any new use.
• We will email you before the transfer, and you can export and delete your account first.
• In a bankruptcy, we will ask the court to hold any buyer to these commitments.

12. Security

• We protect your information with encrypted connections, access controls, and limited staff access.
• We keep backups (Section 8).
• No system is perfectly secure. If a breach affects your information, we will tell you as the law requires.

13. Changes to this policy

• For a material change, we will give notice — by email, an in-app message, or a notice on this page — reasonably in advance of it taking effect. The date at the top of this policy changes too.
• If you do not agree with a material change, you may cancel before it takes effect. If you have prepaid for annual service, you will get a prorated refund of the time you have not used yet.
• We will never use data we already have for a new purpose (for example, a new kind of sharing) unless you actively agree. Continuing to use Herd Advisor does not count as agreeing.
• Small changes (wording, contact details, adding a like-for-like service provider) take effect when posted.
• Earlier versions are available on request.

14. Canada and Quebec

• Where data is stored. We are a U.S. company and store your information in the United States. U.S. authorities may be able to access it under U.S. law.
• Your rights. You may ask to see or correct your personal information, withdraw consent, or complain to us. You may also complain to the Office of the Privacy Commissioner of Canada or, in Quebec, the Commission d'accès à l'information.
• Partner Offers are not shown to Canadian accounts.
• Marketing email to Canadian users follows Canada's Anti-Spam Legislation.

15. Children

Herd Advisor is for adults running ranch operations. We do not knowingly collect information from children under 13.
